Job Description
Under the direction of the Executive Director for the Career Accelerator, the Administrative Specialist III is responsible for providing administrative support to the Executive Director and other staff. The position includes a variety of tasks such as calendar management and scheduling, filing, student data entry, management of the Career Accelerator social media pages, and purchasing for the division. The hours for this position are typically 7:30 am to 5:00 pm Monday through Thursday and 7:30 – 12:00 on Friday. Hours might need to be adjusted occasionally for special events. This position is governed by state and federal laws and institution policy.
Salary: $25,773. Plus, excellent benefit package.

Duties and Responsibilities:
1) Administrative Support
- Manage and organize building schedules and office procedures
- Schedule and coordinate meetings and appointments
- Oversee building rental program and invoicing
- Assist in the preparation of regularly scheduled reports
- Maintain electronic and paper files for classes taught
2) Communication
- Answer and direct phone calls for the Career Accelerator team
- Write and distribute emails and other forms
- Respond to and resolve administrative inquiries and questions
3) Office Coordination
- Maintain office supply inventory and place orders as needed
- Maintain employer and departmental contact lists
4) Support to Team Members
- Assist in the preparation of course materials (copies, registration forms, sign in sheets, etc.)
- Prepare photo identification cards for C-STOP and other divisional needs
- Support divisional event planning as needed (arrange catering, reservations, etc.)
5) Data Management
- Enter and update student data in Jenzabar for reporting purposes
- Handle confidential and sensitive information with discretion
6) Budget and Resource Management
- Coordinate travel arrangements for the Career Accelerator division
- Manage all procurement processes including purchasing, P-Card reporting, and requisition entries
7) Marketing and Outreach
- Utilize social media, newsletters, and other communication channels to enhance visibility and engagement (including designing of social media posts and flyers)
- Manage the email database system and send regular emails to recipients
Job Requirements
Skills and Abilities:
- Working knowledge of office equipment (computers, printers, etc.)
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint specifically)
- Attention to detail
- Strong organizational skills
- Excellent customer service skills
Required Education and Experience:
- High school diploma or equivalent
- At least 2 years of experience in an administrative role
- Ability to work both independently and as part of a team
Preferred Education and Experience:
- Associate degree
- Familiarity with shared calendars and online registration software
Physical Requirements: This position is located in an office environment. Ability to sit for an extended amount of time is required. Also, this role may need to lift up to 15 pounds to move office supplies and products.
