Main Street El Dorado is looking for an enthusiastic, organized, and community-minded person to join our team as a Part-Time Administrative & Communication Assistant!

Main Street El Dorado is seeking a Part-Time Administrative & Communication Assistant to support the day-to-day operations of our office and assist the Executive Director in advancing the organization’s vision, programs, events, communications, and community initiatives. Schedule: Monday–Thursday, 9:00 a.m.–2:00 p.m.

Additional Hours: Occasional evenings and weekends for meetings, events, and special projects.

The Administrative Assistant will work directly with the Executive Director and will be responsible for general office operations, administrative support, communications, marketing, event support, and volunteer coordination.

Key Responsibilities:

  • Office & Administrative Support
    • Maintain regular office hours of 9:00 a.m.–2:00 p.m., Monday–Thursday.
    • Greet visitors, answer incoming calls, respond to inquiries, and direct questions or information appropriately.
    • Maintain organized office files, records, and storage areas, including inventory of supplies and materials.
    • Order office supplies and assist with maintaining accurate organizational records.
    • Perform basic bookkeeping, data entry, and administrative tasks as needed.
    • Assist with Maestro (software program) data entry, reporting, and record maintenance.
    • Distribute and respond if appropriate to incoming correspondence, requests, reports, and other communications.
  • Communications & Marketing
    • Assist with developing and implementing Main Street El Dorado’s communication and marketing efforts.
    • Assist with creating engaging written, graphic, and video content for social media, the website, newsletters, and other promotional materials.
    • Assist with maintaining and updating social media platforms, including Facebook, Instagram, LinkedIn, and other appropriate channels.
    • Maintain a social media calendar and schedule content.
    • Stay informed about emerging social media trends, platforms, and features.
    • Assist with graphic design and website updates, including Wix.
    • Prepare and distribute the monthly Around the Square digital newsletter.
    • Track and evaluate communication and marketing performance and assist with preparing reports on results.
  • Events, Projects & Community Engagement
    • Work closely with the Executive Director on the planning, preparation, promotion, and execution of Main Street El Dorado events and projects.
    • Assist with coordinating volunteers and fostering positive volunteer experiences.
    • Attend Board of Directors and committee meetings as needed and assist committees with documenting their work.
    • Represent Main Street El Dorado and the Executive Director at meetings and community activities as requested.
    • Work with sponsors, Friends of Main Street, supporters, businesses, vendors, community partners, and other organizations as needed.
    • Assist with maintaining current information about businesses and properties within the downtown district.
    • Contribute ideas and participate in brainstorming to strengthen Main Street El Dorado’s programs, events, communications, and community impact.
  • Qualifications & Skills
    • High school diploma or equivalent required; college coursework or degree is a plus.
    • Proficiency with Microsoft Office.
    • Experience with graphic design, website management, and/or Wix is a plus.
    • Strong written and verbal communication skills.
    • Excellent organizational skills and the ability to manage multiple projects and deadlines.
    • Professional and positive demeanor with the ability to represent Main Street El Dorado appropriately.
    • Ability to work independently with minimal supervision and demonstrate initiative.
    • Comfortable interacting with board members, volunteers, business owners, sponsors, vendors, community members, media, and other organizations.
    • Ability to work collaboratively as part of a small team.
    • Willingness to work occasional evenings and weekends in support of Main Street El Dorado activities and events.
