Job Description
Key Responsibilities:
- Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
- Maintain office supplies inventory and place orders as necessary.
- Assist with scheduling meetings and appointments for staff and board.
- Prepare and distribute internal communications and reports.
- Coordinate with external vendors and service providers as needed.
- Work closely with Downtown Business Association and downtown merchants.
- Plan and execute community events throughout the year.
- Coordinate catering, audiovisual equipment, and other logistical requirements for events.
- Prepare meeting agendas, take minutes, and distribute follow-up materials.
- Monitor and record expenses.
- Process Accounts payable and receivable.
- Follow up on overdue accounts.
- Prepare monthly financial reports for Executive Director and Board.
- Greet visitors, clients, and employees with a welcoming and professional demeanor.
- Address inquiries and resolve issues in a timely and courteous manner.
- Serve as a liaison between staff and external contacts.
- Maintain accurate records and databases, expenses, and documentation.
- Assist with data entry, file management, and document organization.
- Assist Digital Admin with social media, website and Distrx.
- Maintain property inventory and volunteer data in Maestro.
- Ensure compliance with data protection policies and confidentiality protocols.
- Ability to work non-conventional hours as needed to support Mainstreet activities, events and conferences.
- Special projects and other duties as assigned.
Job Requirements
Qualifications
- High school diploma or equivalent.
- Proven experience in an administrative role in an office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Drive and other relevant software applications.
- Experience with QuickBooks for Payroll, Accounts Payable and Receivable.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- A self-starter who can work well under pressure in a fast-paced environment.
- Sensitivity to and understanding of confidential matters.
- Effective time management and organizational skills with a high level of attention to detail and follow through.
- Ability to understand, prioritize, and manage multiple projects simultaneously.
- Strong written, verbal and interpersonal communication skills.
- Flexibility in coordinating schedules and rearranging plans in a professional and positive manner.
- Capability to work independently and as part of a team.
- This is an in-office position, not feasible for remote work.

Benefits:

- Salary ($20,150) position for 25 hours per week.
- 3 weeks off, paid to be negotiated yearly. 2024 weeks determined: May 26-30, Oct. 8-14, and Dec. 23-27 (negotiable around events and obligations).
- Flexible hours and comp time as available around Main Street required events.
- $50 monthly cell phone/mileage allowance.
